The New York Office Is Seeking the Following:
A Part-Time Admin Assistant
To support accounting and technical production for the New York office.
This role is in office and ideal for a highly organized, detail-oriented candidate interested in gaining hands-on experience within the operations side of the fashion and beauty industry. The ideal person is a quick learner, comfortable working with numbers, and able to maintain professionalism when interacting with artists, clients, and internal teams. This position will support all stages of invoice creation and assist with recurring administrative and production-related tasks.
Primary Responsibilities Include:
- Creating artist deal memos
- Finalizing invoices and distributing them to clients
- Liaising with clients and responding to questions regarding invoices and technical documents
- Acting as a professional representative of Home Agency and its artists
- Collecting receipts from artists and assistants in a timely manner following job completion
- Assisting with internal expense reports and receipt categorization
- Securing purchase orders as required by clients
- Assisting with artist product and trade requests
- Supporting bookings for cars, travel, hair, and product orders as needed
- Handling ad hoc tasks to support production operations as required
In person, three days per week (Tuesday–Thursday) in our New York office.
Producer – New York Office
Required in office Monday–Thursday. WFH days are at discretion of Director and subject to change.
Core Elements of the Position:
- Responsible for managing end to end jobs for clients on behalf of artists, including all pre, during and post production activity and logistics
- Creating estimates and negotiating job budgets
- Responsible for on time, high quality, to budget jobs
- Communicating regularly with all stakeholders, including artists, brand employees, shared services, and management as needed
- Supporting the agents in delivering the best possible outcomes for clients and artists
- Working with accounting to ensure jobs can be billed successfully
Required Experience
- 5 years+ experience in production
- Excellent time management skills – experience of managing multiple end to end jobs, including set up, logistics, tracking and managing a budget and allocating resources to each element of the project
- Excellent communication and interpersonal skills – managing multiple stakeholders, including artists, clients and external vendors to achieve a positive outcome
- Proven project management skills – excellent existing relationships with talent agencies, production companies and shoot suppliers
- Creating and maintaining professional relationships with strategic partners
- Ability to multitask and adapt to changing priorities
- Proven capability to work independently and part of a team
- A thorough and demonstrable knowledge, understanding and interest in the business of styling, casting and movement direction
